LEGAL

Privacy Policy

Effective date: October 27, 2026

1. Who We Are, Scope

This Privacy Policy explains how Crib Consultants ("Crib Consultants," "we," "us," or "our"), collects, uses, discloses, retains, and protects personal information associated with its public website https://cribconsultants.com, the application at https://app.cribconsultants.com, and related communications and services (collectively, the "Platform").

The Platform connects people requesting discrete real estate services with participating licensed real estate brokers and sales agents. This Policy covers prospective buyers and other customers ("Customers"), participating brokers and sales agents ("Professionals"), and website visitors. A participating broker may also maintain records under its own privacy practices and legal obligations. The Platform Terms of Use and any signed real estate service agreement govern the provision of brokerage services, this Policy addresses personal information.

2. Categories of Information We Collect

We collect information that users provide through the website and application, information reasonably necessary to arrange requested services, and technical information created when users access the Platform. Depending on how the Platform is used, this information may include:

  • Customer contact and profile information: name, email address, telephone number, mailing address if submitted, and account login information.
  • Service and property information: property addresses, preferred showing times, appointment instructions, questions, communications, service requests, service status, and documents or information uploaded in connection with a requested transaction.
  • Professional information: name, business contact details, real estate license number, sponsoring-broker identity, service areas, availability, completed assignments, and payment-related administrative records.
  • Communications: emails, support requests, messages with assigned Professionals, and records of consents or acknowledgments submitted through the Platform.
  • Platform activity: IP address, browser/device characteristics, approximate location derived from IP address, access timestamps, usage logs, and cookies or similar technologies to the extent enabled.

Please do not submit Social Security numbers, bank account credentials, payment card numbers, government identification images, or other sensitive information through ordinary messages or uploads unless expressly requested through an appropriately protected and authorized channel.

3. Sources of Information

Information may come directly from you, from another user who submits an authorized service request or refers you to a participating Professional, from a Professional or sponsoring brokerage involved in your requested service, from the payment processor in the form of transaction confirmations and limited payment metadata, and from routine security or website activity logs. We do not represent that every category described above is collected from every user.

4. How We Use Information

We use information to create and maintain accounts, verify and administer professional participation, connect Customers with available Professionals, offer, schedule, communicate about, and complete assignments, identify the brokerage responsible for a service, communicate service updates, process or reconcile charges and refunds through a third-party processor, maintain service histories and required records, respond to support requests, detect misuse, secure and improve the Platform, comply with law, and enforce applicable agreements.

If we send optional marketing about our own services, we will provide an appropriate means to opt out. We will not treat consent to receive marketing texts as a condition of purchasing a service.

5. Disclosures to Affiliated Agents and Brokers

A principal function of the Platform is sharing relevant Customer contact details and assignment information with participating licensed agents and brokers who are registered members of the Platform so that they can evaluate, accept, schedule, and perform the requested services. Depending on the assignment, shared information may include the Customer’s name, telephone number, email, property address, availability, appointment instructions, and documents reasonably necessary for the work.

Professionals may use information provided through the Platform only for legitimate purposes associated with the relevant assignment and any other purpose independently authorized by the Customer and permitted by law. They may not use assignment access as permission to sell Customer lists, conduct unrelated solicitation, or disclose confidential transaction details. Separate broker/agent participation agreements impose additional confidentiality obligations.

6. Payments and Financial Information

Customer payments are processed through an independent third-party payment processor. The website and application are not designed to collect or retain complete payment card numbers, security codes, or customer bank-account login credentials, and Crib Consultants does not operate as the custodian of those credentials. Payment details entered into the processor’s payment interface are handled according to that provider’s terms and privacy policy.

The Platform may receive or retain limited information needed for administration, such as payment amounts, dates, invoice numbers, processor reference identifiers, payment status, masked payment method information returned by the processor, refunds, and the allocation of service payments. Those records do not constitute storage of complete customer financial credentials. Our payment processor is Stripe.

7. Other Disclosures

We may disclose information to providers performing services for us (such as payment processing, email and messaging delivery, technical maintenance, and security), to professional advisers acting under confidentiality duties, to government authorities or courts when required by lawful process, and to investigate suspected fraud, threats, or violations of law. If ownership of the business or its assets changes, information may be transferred as part of that transaction, subject to applicable legal restrictions and appropriate notice.

8. Marketing Partners: Possible Future Practice

We currently share Customer information with participating real estate professionals for service delivery, not as a general sale of Customer contact lists to unrelated marketing affiliates. We may consider marketing partnerships in the future. Before providing personal information to outside marketing partners for their independent marketing purposes, we will evaluate the applicable notice, consent, and opt-out requirements, amend this Policy as required, and obtain any legally required authorization. This paragraph does not itself grant permission for a future transfer that requires consent.

We do not sell or share mobile-messaging opt-in consent records with third parties or affiliates for their own marketing messages.

9. Cookies and Technical Information

The Platform may use first-party cookies or similar technologies needed for logins, security, session management, and user preferences, and may collect server logs in the ordinary course of service. We do not use analytics, advertising pixels, third-party advertising cookies, or session recording. If you use "Near me" in the app and allow it, your device shares its approximate location for that search only; it is not stored or tracked in the background. Browsers permit users to manage some cookies, blocking essential cookies may impair access to the application.

10. Self-Hosted Infrastructure and Security

The Platform is hosted on self-managed server infrastructure using Proxmox virtualization, with encryption measures intended to protect information. We maintain administrative, technical, and physical safeguards appropriate to the information handled. No internet-based system is completely secure, and we cannot guarantee the prevention of every security event. We assess and respond to security incidents and provide notices when applicable law requires them.

11. Data Retention

We retain personal information only as reasonably necessary to provide the Platform and requested services, maintain appropriate brokerage and business records, resolve disputes, comply with legal obligations, and protect legitimate business interests. Retention depends on the type of information, the applicable brokerage record-retention requirement, and whether a service or dispute remains open. We may delete, deidentify, or securely archive information when continued retention is unnecessary. Closing an account does not necessarily result in immediate deletion of information required for legal or transactional records.

12. Privacy Requests and Choices

You may request information about the personal data associated with your account, seek correction of inaccurate information, request deletion subject to legal and transactional retention obligations, or ask to stop optional marketing. We will evaluate requests and respond as required by applicable law after reasonably verifying identity. Where law provides additional privacy rights, including rights concerning certain sales, targeted advertising, or profiling, we will honor legally applicable requests.

To make a request, contact [email protected] or write to the mailing address in Section 17. A request to stop sharing with an assigned Professional may affect our ability to provide the requested service, confidentiality and record-retention obligations continue to apply.

13. Emails, Telephone Calls, and Text Messages

We may contact you about registration, security, scheduling, assignments, support, and receipts using the contact details you provide, subject to applicable law. If we offer optional promotional SMS messaging, we will obtain required consent and provide any legally required opt-out instructions. For operational text messages, reply STOP where supported or contact us at [email protected] to request communication changes. Message and data rates may apply. We will not transfer SMS opt-in consent to marketing affiliates for their independent campaigns.

14. Children and Third-Party Services

The Platform is intended for adults age 18 and older and is not directed to children. We do not knowingly solicit personal information from children under 13. Third-party processors and websites linked from the Platform are governed by their own privacy practices. We encourage users to review those policies.

15. Changes to This Policy

We may amend this Policy as the Platform develops or legal requirements change. The date at the beginning of the Policy will identify the operative version. When law requires notice or consent for a material change, we will provide it before implementing that practice.

16. State and Other Legal Requirements

This Policy is intended to operate consistently with applicable federal and state privacy, consumer-protection, and data-security laws, including the Texas Data Privacy and Security Act to the extent it applies to the operator. Nothing in this Policy limits a right that cannot lawfully be waived.
